Job Description Executive Operations & Strategy Partner Description Location: San Diego, California. This is a 100% in office/onsite position. General Summary: The Executive Operations & Strategy Partner is a high-impact, trusted partner to the CEO, responsible for managing the operating rhythm of the CEO's office while driving the execution of key business initiatives across the organization. This role partners closely with the executive leadership team to align strategic priorities, improve operational processes, strengthen organizational accountability, and ensure company objectives are translated into measurable execution. This position offers a unique opportunity to partner with the CEO and executive leadership team while gaining broad exposure to business operations, strategic planning, and executive decision-making. Supervision Level: • Reports to the Chief Executive Officer (CEO). Key Responsibilities CEO Office Leadership and Executive Leverage • Manage the CEO’s calendar and time allocation based on company priorities, strategic initiatives, client commitments, and leadership needs., • Proactively assess whether the CEO’s time is aligned with the company’s most important goals and recommend adjustments., • Coordinate complex internal and external meetings involving executives, Board members, clients, partners, employees, and advisors., • Anticipate scheduling conflicts, preparation needs, deadlines, and changing priorities., • Ensure the CEO is fully prepared for meetings by coordinating agendas, background materials, data, presentations, and desired outcomes., • Coordinate executive travel, company events, leadership offsites, and special initiatives., • Maintain an organized and efficient CEO office, including executive communications, operating materials, contacts, commitments, and follow-up systems., • Handle confidential and sensitive matters with exceptional judgment and discretion., • Perform administrative and logistical responsibilities with urgency, professionalism, and attention to detail. Executive Operating Rhythm and Accountability • Establish and manage the operating rhythm of the CEO and executive leadership team, creating consistent processes that improve communication, accountability, decision-making, and execution., • Plan and facilitate executive and leadership meetings, including agendas, pre-reads, presentations, notes, decisions, and action items., • Maintain executive action trackers, decision logs, priority lists, and accountability dashboards., • Follow up directly with executives and initiative owners to ensure commitments are completed on time., • Track company goals, strategic priorities, operating metrics, and major initiatives, escalating risks or delays when appropriate., • Identify gaps in ownership, communication, decision-making, or execution and recommend practical solutions., • Help create consistent processes for executive communications, meeting preparation, decision-making, and organizational follow-through. Business Analysis and Process Improvement • Partner with the CEO and functional leaders to analyze operational and financial performance, identify trends, uncover improvement opportunities, and support informed business decisions., • Organize and analyze business information from multiple systems, spreadsheets, reports, and stakeholders., • Develop clear summaries, dashboards, charts, and executive-level recommendations from complex or incomplete information., • Support analyses related to project performance, resource utilization, pricing, productivity, profitability, staffing, customer concentration, and operating efficiency., • Investigate operational concerns by defining the question, gathering relevant data, testing assumptions, and identifying potential root causes., • Help leaders establish meaningful metrics, reporting processes, and accountability mechanisms., • Lead or coordinate cross-functional process-improvement initiatives sponsored by the CEO., • Regularly look for opportunities to simplify processes, eliminate duplication, improve information flow, and increase organizational effectiveness. Strategic Initiatives and Special Projects • Partner with the CEO to translate strategic priorities into actionable plans, ensuring initiatives move efficiently from concept through execution., • Develop project plans, timelines, workstreams, ownership structures, and progress reporting for CEO-sponsored initiatives., • Coordinate cross-functional stakeholders and ensure dependencies, decisions, and risks are actively managed., • Conduct research and prepare executive summaries to support business decisions., • Manage special projects that may span operations, growth, organizational development, client strategy, or company planning., • Serve as a trusted connector between the CEO and members of the executive leadership team while respecting clear leadership roles and accountability. Board, Client, and Growth Support • Coordinate Board and Executive Committee meeting preparation, including timelines, inputs, materials, presentations, and follow-up., • Support the development of executive-level presentations, proposals, briefing documents, and client materials., • Prepare the CEO for important client, partner, employee, and industry meetings., • Track important external relationships, commitments, opportunities, and follow-ups., • Conduct preliminary reviews of contracts and business documents, including summaries, risk flags, and coordination of internal or legal review., • Support leadership communications and company-wide initiatives as needed., • Performs other duties as assigned. Position Requirements Experience • Minimum of five (5) years of progressively responsible experience in executive operations, business operations, consulting, project management, operational analysis, or senior executive support., • Demonstrated experience supporting a senior executive while leading business initiatives, cross-functional projects, or operational processes., • Experience managing complex executive calendars and coordinating high-stakes meetings with multiple stakeholders., • Experience analyzing business data and preparing executive-level presentations, dashboards, reports, or recommendations., • Experience working directly with senior leaders in a collaborative, fast-paced environment., • Utility, professional services, consulting, project controls, or PMO experience is preferred but not required. Knowledge, Skills, and Abilities • Exceptional organizational skills with the ability to bring structure, discipline, and clarity to complex and evolving priorities., • Highly proactive, with the ability to anticipate needs, identify gaps, and drive execution with minimal direction., • Strong business judgment, analytical thinking, and problem-solving skills, including the ability to interpret operational, financial, project, and workforce data., • Proven ability to align cross-functional stakeholders, coordinate multiple initiatives, and improve organizational processes., • Advanced proficiency in Microsoft Excel and PowerPoint, including the ability to develop executive presentations, dashboards, charts, and reports., • Excellent project management skills with the ability to manage competing priorities, deadlines, dependencies, and follow-through., • Ability to balance detailed administrative responsibilities with higher-level operational and strategic initiatives., • Confidence and professionalism to respectfully hold senior leaders accountable for commitments while maintaining strong working relationships., • Excellent written, verbal, and interpersonal communication skills., • Executive presence, discretion, sound judgment, emotional intelligence, and the ability to handle confidential information with professionalism., • Comfortable working in a fast-paced environment with changing priorities, ambiguity, and continuous improvement opportunities. Education and Training • Bachelor’s degree in business administration or a related field., • In lieu of a bachelor’s degree, nine (9) years of related experience. Measures of Success Success in this role will be measured by: • The CEO’s time being visibly aligned with the company’s highest priorities., • Executive meetings being well organized, decision-oriented, and consistently followed through., • Commitments and action items being completed with greater consistency and accountability., • Business issues being surfaced earlier and supported by organized, accurate analysis., • CEO-sponsored initiatives progressing with clear ownership, timelines, and reporting., • Improvements in the quality, accessibility, and usefulness of executive-level data., • Greater consistency and efficiency in company operating processes., • Strong trust and productive working relationships across the executive leadership team., • The CEO and executive team having more capacity to focus on strategy, customers, leadership, and business performance. This range is only applicable for jobs to be performed in San Diego, CA. This is the lowest to highest pay scale we reasonably expect to pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future.
