Job Description We're seeking a highly motivated Workplace Services Representative to help create an exceptional workplace experience for employees, visitors, and business partners. This is a hands-on, highly visible role that combines facilities coordination, office operations, workplace support, and customer service. What You'll DoFacilities Operations & Workplace Support • Coordinate building maintenance requests and manage work orders from submission through completion., • Partner with vendors to schedule repairs, service appointments, and preventative maintenance., • Support office furniture maintenance, repairs, and workspace configurations., • Respond quickly to workplace issues, including spills and minor facility concerns., • Coordinate printer maintenance and repair requests., • Help maintain a safe, secure, and compliant work environment.Conference Rooms & Employee Experience, • Ensure conference rooms are organized, stocked, and meeting-ready each day., • Manage conference room schedules and resolve booking conflicts., • Restock refrigerators and maintain meeting room amenities., • Coordinate catering orders and event setups for meetings and special events., • Support a seamless and professional meeting experience for employees and guests.Mail, Shipping & Logistics, • Receive, sort, and distribute incoming mail and packages., • Manage outgoing mail and USPS drop-offs., • Process FedEx shipments and provide tracking support., • Serve as a key point of contact for office deliveries and logistics.Inventory & Office Services, • Manage office, pantry, coffee, and snack supply inventory., • Place and track supply orders to maintain stock levels., • Perform daily and scheduled replenishment of common areas., • Maintain accurate inventory records and conduct routine audits., • Complete weekly refrigerator cleanouts and ensure shared spaces remain organized.Technology & Workspace Coordination, • Assist with laptop recovery and asset management activities., • Support high-quality printing requests, including presentations, pitch books, signage, brochures, and other business materials., • Coordinate employee seat moves and workspace updates., • Maintain workstation nameplates and workplace directories.Reception & Front Desk Support, • Provide front desk coverage during breaks, lunches, and receptionist absences., • Welcome employees, clients, and visitors with professionalism and hospitality., • Respond promptly to questions, requests, and workplace needs., • Assist with office access issues and lockout support as needed.What We're Looking ForRequired Qualifications, • Experience in facilities, workplace services, office administration, reception, hospitality, or a related field., • A proactive mindset and ability to anticipate needs before they arise., • Passion for delivering outstanding employee and guest experiences., • Strong customer service skills with a friendly, professional, and solutions-oriented approach., • Excellent communication and interpersonal skills., • Ability to work independently while collaborating effectively with a team., • Strong organizational and time-management abilities., • Experience managing both routine responsibilities and changing priorities., • Proficiency with Microsoft Office Suite., • Ability to lift and move supplies up to 50 pounds.Preferred Qualifications, • Experience in hospitality, front desk, or customer-facing support roles., • Corporate office or workplace services experience., • Security training or related experience., • First Aid and/or CPR certification., • Experience with FedEx Ship Manager, ServiceNow, and/or AutoCAD Web., • Experience supporting employee-facing services in a professional office environment.Job Type & Location This is a Contract position based out of Chicago, IL. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
