Job Description JOB DESCRIPTION Petroleum Service Manager Department: Service Operations Reports To: VP of Operations FLSA Status: Exempt Supervises: Petroleum Service Technicians, Lead Technicians, Apprentices, and Field Personnel POSITION SUMMARY The Petroleum Service Manager is responsible for leading, scheduling, quoting, and overseeing all petroleum service operations, including maintenance, repairs, inspections, testing, and emergency response for fueling systems. This role provides direct supervision to petroleum service technicians and ensures all work is completed safely, efficiently, profitably, and in full compliance with regulatory, environmental, and company standards. The Service Manager is accountable for service execution, customer satisfaction, technician performance, accurate job quoting, and meeting defined service KPIs. KEY RESPONSIBILITIES Service Team Leadership • Directly supervise petroleum service technicians and field personnel., • Assign daily work, manage schedules, and coordinate on-call rotations., • Provide coaching, training, performance feedback, and corrective action., • Conduct performance reviews and support technician development and certification progress. Service Operations & Scheduling • Manage daily, weekly, and emergency service schedules., • Coordinate labor, vehicles, tools, and materials to support service calls., • Balance workload while controlling overtime and labor efficiency. Job Quoting & Estimating • Prepare accurate and timely service quotes for repairs, upgrades, testing, and maintenance work., • Evaluate scope, labor, materials, and equipment requirements., • Price work to meet company margin targets and pricing standards., • Communicate scope, pricing, and timelines clearly to customers. Safety & Regulatory Compliance • Enforce company safety policies, OSHA requirements, and petroleum-specific safety standards., • Ensure PPE usage and safe work practices., • Maintain compliance with UST/AST, EPA, and state regulations. Technical Oversight • Provide technical guidance and support to service technicians., • Review service reports and documentation for accuracy and compliance., • Support troubleshooting of complex fueling system issues. Customer Relations • Serve as primary escalation point for service-related customer issues., • Communicate professionally regarding service scope and schedules., • Maintain long-term customer relationships. Financial & Performance Management • Monitor service productivity, labor utilization, and margins., • Review work orders and billing accuracy., • Identify opportunities to improve efficiency and profitability. Coordination & Communication • Coordinate with construction, environmental, warehouse, and administrative teams., • Ensure clear communication between office staff and field technicians. KEY PERFORMANCE INDICATORS (KPIs) • Service response time and work order completion rate, • Service gross margin performance, • Quote accuracy vs. actual job costs, • Labor utilization and overtime control, • Safety incident rate and regulatory compliance, • Customer satisfaction and retention, • Technician performance, training, and retention REQUIRED QUALIFICATIONS • 5+ years of petroleum service or fueling systems experience, • Supervisory experience with direct reports, • Strong knowledge of petroleum fueling systems and compliance requirements, • Experience preparing service quotes and managing job costs, • Strong leadership, organizational, and communication skills PREFERRED QUALIFICATIONS • UST Installer/Tester, PEI, API, STI, or similar certifications, • Experience with service management or work order software WORK ENVIRONMENT Combination of office and field environments. On-call or after-hours support may be required. PHYSICAL REQUIREMENTS Ability to visit job sites, observe field work, and occasionally lift up to 25 pounds.
