Job Overview: \n Job Title: Legal Secretary - Civil Litigation \n Location: San Jose, CA \n Schedule: Hybrid \n Pay Rate: $35–$40/hour \n Employment Type: Contract - 4 Months \n \n Position Overview \n Our client, a leading property and casualty insurance organization, is seeking an experienced Civil Litigation Legal Secretary to support two attorneys handling insurance defense litigation. This role is ideal for someone who thrives in a fast-paced, paperless legal environment and has experience supporting civil litigation matters from case inception through resolution. \n \n Responsibilities: \n\n • Provide legal administrative support to two Civil Litigation attorneys.\n, • Draft, edit, and prepare legal correspondence, pleadings, and other legal documents.\n, • Maintain and organize electronic case files in a paperless environment.\n, • Manage attorney calendars, court appearances, filing deadlines, and scheduling.\n, • Coordinate depositions, medical examinations, arbitrations, hearings, and expert witnesses.\n, • Electronically file legal documents with California courts.\n, • Track case activity and proactively manage deadlines and follow-up tasks.\n, • Handle confidential legal information with professionalism and discretion.\n\n \n Required Qualifications: \n\n • 3–5 years of experience as a Legal Secretary or in a similar legal support role.\n, • Experience supporting civil litigation or insurance defense attorneys.\n, • Strong knowledge of legal terminology, court procedures, and legal document formatting.\n, • Experience with electronic court filing (e-filing), preferably in California courts.\n, • Ability to manage multiple priorities while maintaining exceptional attention to detail.\n, • Experience working in a fully electronic, paperless legal environment.\n, • Proficiency with:\n, • Microsoft Office 365\n, • Microsoft Teams\n, • OneDrive\n, • Adobe Acrobat/PDF editing\n, • Legal case management software\n, • Excellent written and verbal communication skills.\n, • Strong organizational and time management abilities.\n, • Ability to maintain confidentiality and handle sensitive information.\n\n \n Preferred Qualifications: \n\n • Bachelor's degree or equivalent combination of education and experience.\n, • California Notary Public license.\n, • Experience with e-Docs, TeamConnect, or similar legal management systems.\n, • Knowledge of California court rules and local filing procedures.\n, • Experience with California state court e-filing systems.\n\n \n Benefits Disclosure: \n Russell Tobin offers eligible employee’s comprehensive healthcare coverage (medical, dental, and vision plans), supplemental coverage (accident insurance, critical illness insurance and hospital indemnity), 401(k)-retirement savings, life & disability insurance, an employee assistance program, legal support, auto, home insurance, pet insurance and employee discounts with preferred vendors. \n \n Equal Employment Opportunity: \n Russell Tobin is an equal opportunity employer.
