Job DescriptionABOUT THE ROLE CSET is recruiting for an energetic and friendly front desk Receptionist for the Tulare Employment Connection. The successful candidate will have one or more years of customer service experience, preferably. Bilingual in Spanish is helpful but not required. Knowledge of general office procedures such as answering phones, directing callers, and receiving and directing walk-in customers is essential. SUMMARY The purpose of this position is to ensure Employment Connection and CSET are represented in a highly professional manner, always with courtesy and respect for individuals seeking information or community assistance. The incumbent of this position will operate the telephone communication system, perform clerical work, and assist with the coordination and implementation of One-Stop services for the AJCC full-service One-Stop, commonly known as the Employment Connection. ESSENTIAL DUTIES & RESPONSIBILITIES • Operates telephone communication system; answers incoming calls, greets callers, provides information, transfers calls, and/or takes messages as necessary, • Provides exceptional customer service for individuals from various backgrounds, including efficient, precise, and courteous communication in a professional environment, • Greets persons entering the establishment, determines the nature and purpose of their visit, and directs or escorts them to specific destinations or contacts appropriate staff, • Alerts appropriate management staff of any incidents or immediate threats in the lobby area; announces emergency codes through the phone intercom system as required, • Relays and routes verbal and written messages, • Performs clerical duties, such as typing, scheduling appointments, and outgoing mail, • Prepares and modifies documents including correspondence, flyers, memos, and emails, • Trains participants in front office procedures, including customer service, office phones, and services provided, • Provides information about the agency to customers and other community members, such as the location of departments or offices, employees within the organization, and services provided, • Greets and provides necessary paperwork for individuals interviewing for positions within the organization, • Performs other duties including but not limited to fulfillment of work schedules, adherence to attendance policies, and other applicable operating rules, policies, and procedures, • Participates in training and professional development to build required knowledge for the positionQUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. SKILLS & ABILITIES • Ability to uphold company principles and practices to the highest degree and represent the agency in a professional manner, • Ability to accurately record and deliver information and maintain confidentiality of restricted information, • Ability to multitask and provide excellent customer service simultaneously, • Ability to work in a fast-paced environment, • Ability to develop and maintain effective working relationships with co-workers, members of other agencies, and the general public, • Ability to deal with individuals in a calm, professional, friendly, and patient manner, • Knowledgeable in modern office procedures and methods; proficient in the use of a computer, Windows operating system, Microsoft Office applications (Word, Excel, and Access), and program database; able to type 40 wpm, • Strong communication skills, research abilities, flexibility, and an ability to work well with others, • Ability to read and interpret documents, • Ability to write routine correspondence, • Excellent organizational skills and attention to detail, • In-depth knowledge of all aspects of the various company programs and the ability to communicate policy information in a clear and detailed manner, • Ability to work effectively with minimal supervision, • Ability to communicate effectively both verbally and in written formWORK ENVIRONMENT The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. This position is typically situated in a standard office environment, resulting in little exposure to the weather and requiring no unusual physical abilities. Candidates may be required to sit and/or stand for lengthy periods of time. COMPENSATION Pay Range: $18.64 – $22.14 per hour, depending on qualifications and experience. This position is classified as Non-Exempt under the Fair Labor Standards Act (FLSA) and is eligible for overtime pay in accordance with California and federal law.
