Position Overview We are seeking an organized, discreet, and versatile Paralegal to provide in-house legal, contract, and compliance support directly to our CEO and senior executive team. Importantly, we are a high-end real estate development group, not a law firm, and there is no billable-hour requirement and none of the adversarial pressure of firm life. Instead, this position offers the opportunity to do substantive, business-focused legal work as a trusted member of a single, cohesive team, supporting real projects from the inside rather than serving outside clients. While the title is Paralegal, the role is intentionally broad. The right person will own contract and compliance coordination across the portfolio while also providing executive assistant support and helping coordinate active development, hospitality, and events workstreams. We are looking for someone who is comfortable wearing many hats, takes initiative, and treats confidential matters with the utmost discretion. Key Responsibilities 𝗟𝗲𝗴𝗮𝗹, 𝗖𝗼𝗻𝘁𝗿𝗮𝗰𝘁𝘀 & 𝗖𝗼𝗺𝗽𝗹𝗶𝗮𝗻𝗰𝗲 (𝗣𝗿𝗶𝗺𝗮𝗿𝘆) • Draft, redline, distribute, execute, and maintain contracts across the entire portfolio, including art, architecture, construction, events, entertainment, food and beverage, and design scopes., • Administer AIA contract documents (e.g., A102, A201, B101, B152) and manage mechanic's lien releases, certificates of insurance (COIs), and lien-waiver tracking., • Support active legal matters and insurance claims in coordination with outside counsel, preparing chronologies, document productions, exhibits, and correspondence, while serving as the primary internal point of contact., • Manage permits, licenses, renewals, and regulatory filings across municipal, county, and state agencies (e.g., City of Scottsdale, Maricopa County Environmental Services, and the Arizona Department of Liquor Licenses and Control)., • Coordinate trademark and entity matters, maintain organized legal and compliance records, and ensure key dates, renewals, and obligations are tracked and met., • Provide practical, business-minded legal support to the Senior Executives, helping leadership move quickly and confidently while protecting the company's interests. 𝗘𝘅𝗲𝗰𝘂𝘁𝗶𝘃𝗲 & 𝗔𝗱𝗺𝗶𝗻𝗶𝘀𝘁𝗿𝗮𝘁𝗶𝘃𝗲 𝗦𝘂𝗽𝗽𝗼𝗿𝘁 • Provide direct executive assistant support to the Senior Executives, including calendar management, travel coordination, communications, and meeting preparation., • Act as a liaison between executives, outside counsel, vendors, and partners, maintaining strict confidentiality and ensuring smooth, accurate information flow., • Prepare agendas, capture meeting minutes, track action items, and follow up to ensure deadlines are met across multiple concurrent workstreams., • Anticipate the needs of leadership and proactively resolve administrative and logistical issues before they become problems. 𝗣𝗿𝗼𝗷𝗲𝗰𝘁 & 𝗢𝗽𝗲𝗿𝗮𝘁𝗶𝗼𝗻𝘀 𝗖𝗼𝗼𝗿𝗱𝗶𝗻𝗮𝘁𝗶𝗼𝗻 • Coordinate active real estate development projects, including due-diligence tracking, consultant and agency coordination, and submittal management., • Support hospitality operations, marketing, branding, and event coordination as needed across the company's properties., • Maintain and improve the team's operating system for project tracking, reporting, invoicing, and financial workflows., • Own invoice generation, COI coordination, reimbursement workflows between affiliated entities, and permit- and plan-review fee payments. 𝗖𝗼𝗻𝗳𝗶𝗱𝗲𝗻𝘁𝗶𝗮𝗹𝗶𝘁𝘆 & 𝗝𝘂𝗱𝗴𝗺𝗲𝗻𝘁 • Handle sensitive legal, financial, and executive information with absolute discretion and sound judgment., • Exercise independent decision-making within the scope of the role, escalating appropriately and keeping leadership informed. Qualifications 𝗘𝗱𝘂𝗰𝗮𝘁𝗶𝗼𝗻 • Bachelor's degree, paralegal certificate, or equivalent combination of education and experience. 𝗘𝘅𝗽𝗲𝗿𝗶𝗲𝗻𝗰𝗲 • 5+ years of paralegal, contracts, or legal-support experience; in-house, real estate and/or construction experience is strongly preferred., • Demonstrated experience drafting and managing contracts and coordinating with outside counsel., • Prior executive assistant or executive-support experience, or a clear willingness to take on those duties as a core part of the role. 𝗧𝗲𝗰𝗵𝗻𝗼𝗹𝗼𝗴𝘆 & 𝗦𝗼𝗳𝘁𝘄𝗮𝗿𝗲 𝗦𝗸𝗶𝗹𝗹𝘀 • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace., • Experience with (or ability to quickly learn) Claude, Yardi, Airtable, DocuSign, and other tools., • Familiarity with Procore, Bluebeam, or similar construction and development software is a plus. 𝗦𝗽𝗲𝗰𝗶𝗮𝗹 𝗥𝗲𝗾𝘂𝗶𝗿𝗲𝗺𝗲𝗻𝘁𝘀 • Ability to maintain strict confidentiality and handle privileged and sensitive information., • Valid driver's license and ability to travel locally as needed.
