Payroll & HRIS Administrator/ HR Clerk The YMCA of Newark & Vicinity is seeking a dynamic and detail-oriented Payroll & HRIS Administrator/ HR Clerk to join our team! Under the general direction of the Vice President of Human Resources, the position is responsible for the overall administration of Payroll and HRIS, and all other HR related systems/applications/platforms utilized by the Human Resources department as well as performing all the clerical and administrative tasks of the Human Resources - all in a manner consistent with established policies and procedures and in accordance with the regulations. The YMCA's recruitment process includes comprehensive background screening including pre-employment drug test and criminal background check and upon hire, a wide range of trainings. Summary of Essential Functions: • Process the end-to-end company's payroll every pay period. Ensure accuracy and timeliness of payroll processing., • Audit payroll data to ensure accuracy and compliance., • Resolve payroll discrepancies by collecting and analyzing information., • Process and monitor onboarding new hires/rehires. First set up all new hires on E-Verify to determine eligibility to work in the United States., • Process all employee related information including but not limited to personal, employment, pay, banking, deductions (voluntary, court ordered, and statutory), benefits, time-off, changes, and terminations in the Payroll/HRIS system all with accuracy and timeliness., • Audit and analyze all employee related data to ensure accuracy and compliance., • Process year-end/year-start tasks such as W2 forms, updated rates, deductions, benefits, etc., • Process and monitor reference checking, internally or using the third-party platform/systems., • Process and monitor background checks using the third-party platform/systems., • Process and monitor employee training using the third-party platform/systems., • Assist employees with Payroll/HRIS self-service portal., • Keep updated of all regulations and regulatory changes using available resources. Ensure compliance by following policies and procedures and relevant laws., • Prepare and run reports for various internal and external inquiries and requirements., • Assist in responding to HR requests/inquiries (i.e., annual audit, providing employment verifications, garnishments, unemployment requests for information, work related accidents to workers compensation company, OSHA reports, EEO reports, other formal agency requests)., • Assist supervisor with HR related projects., • Maintain confidentiality and protect HR/Payroll operations by keeping information confidential., • Process and maintain filing and record keeping on a timely basis and with accuracy., • Prepare invoices on a timely basis and with accuracy., • Attend all trainings and meetings as required., • Ensure all Department Operations are consistent with the Association procedures. This includes safety, insurance, incident/accident reports, registrations, purchasing, HR and Payroll procedures, accounting, and maintenance of appropriate logs and records. Provide data and reports as required for assigned programs., • Maintain a safe work environment, free of clutter, debris and hazardous conditions and ensure cleanliness of facility., • Provide excellent customer service and care for all including but not limited to internal and external customers /members/ residents/ visitors/ clients/ patrons/ vendors/ suppliers/ members of public/volunteers/staff., • Demonstrate and model the YMCA's four core values of Caring, Honesty, Respect, and Responsibility., • Perform such other job-related duties as may be periodically assigned by the Supervisor., • Exhibit personal and professional behavior in a manner consistent with the best interest of the Association, so as not to bring discredit to the Association., • Cooperate, work effectively and congenially with all YMCA staff members, volunteers, and members of the Association., • Adhere to Abuse Risk Management policies:, • Adhere to policies related to boundaries with program participants., • Attend required abuse risk management training., • Adhere to procedures related to managing high-risk activities and supervising program participants., • Report suspicious or inappropriate behaviors and policy violations., • Follow mandated abuse reporting requirements. Minimum Qualifications: • Minimum High School diploma or equivalent. College degree or payroll certificate preferred., • Minimum three years of increasingly responsible experience working with a payroll and HRIS system and multi- department/location environment with variable rates. Preferably ADP Workforce Now., • Experience working with numbers and statistical records., • Strong knowledge of computer systems, internet, and Microsoft Office (Excel and Word)., • Ability to analyze information; general math skills required., • Excellent organizational skills., • Must be extremely attentive to details., • Must have the ability to meet deadlines., • Excellent communication and interpersonal skills., • Must be able to maintain and demonstrate high level of confidentiality., • Effective verbal and written communication skills, • Ability to manage multiple tasks and projects independently., • Ability to work closely with other employees and team members to ensure positive and constructive environment within the department and throughout the agency., • Customer service focus and able to work effectively and congenially with all staff, volunteers and members.
