Job DescriptionJob Title: Operations Planner / Scheduler – Life SciencesJob Description The primary role of the Operations Planner / Scheduler is to enhance workforce productivity and work quality by anticipating and eliminating potential delays through meticulous planning and coordination of labor, parts, materials, supplies, permits, documentation, and equipment access. The ideal candidate will possess significant organizational skills and a proactive approach, working as part of a collaborative facilities operations team to provide excellent customer service by phone and email. Responsibilities • Plan, assign, schedule, and follow up on all work orders in the CMMS system., • Maintain coordination between various maintenance groups and Facility Managers., • Keep appropriate records and files for meaningful analysis and reporting., • Work closely with the Facilities Management team., • Receive, review, assign, and follow up on work orders., • Process invoices and maintain records of payments and pending transactions., • Engage with the maintenance team for updates on work orders and projects., • Assist with organizing meetings and preparing reports., • Participate in the preparation of weekly payroll reports and adjustments., • Manage the CMMS system, including department emails, employees, and vendors., • Develop and maintain a vendor library in the cloud with certificates and permits., • Ensure Certificates of Insurance are processed accurately and timely., • Perform general communication and postings to staff., • Provide work directions to in-house employees in the absence of the Program Director of Facilities Operations and/or Facilities Managers., • Support operations as needed and complete weekly inspections.Essential Skills, • Experience with CMMS systems., • Strong customer service skills., • Proficient in planning and project coordination., • Prior experience with office management and bookkeeping.Additional Skills & Qualifications, • Associate's degree in a technical field or equivalent experience.Why Work Here? Job Type & Location This is a Contract to Hire position based out of Cambridge, MA. Pay and Benefits The pay range for this position is $45.00 - $45.00/hr.
