Job Description Duration: Contract 6-12+ Months Job Description: • Answers telephone in a courteous and tactful manner and attempts to resolve complaints in a calm and courteous manner, • Prepares, types, and processes correspondence and other documents to ensure accuracy, completeness, and timeliness, • Creates, maintains, and manipulates data (e.g., spreadsheets, databases, graphics, etc.) to generate reports and to locate information found in documents, correspondence, etc, • Establishes customized Sharing Privileges for adding/editing schedule information on a user by user basis, • Publishes chosen facility schedules to community calendars for public access, • Inputs and maintains customer contact records, • Generates detailed, customized time use reports regularly to justify items such as budget and staff and also help departments internally analyze their performance, • Monitors event requests, creates reservations, and produces professional invoices for receiving facility use fees, • Schedules and coordinates school and building use for events given by both internal and external groups, • Maintains school site calendars and use of school facility on a monthly, weekly, and daily basis, • Completes school site maintenance requests for events including outside groups, • Promotes harmony and goodwill with the public with a high degree of professionalism and courtesy, • Arranges custodial help to open/close buildings, if needed, • Assist other building clerical/support staff as needed, • Maintains electronic and hard copy filing systems Additional Responsibilities • Performs other duties as assigned by the appropriate administrator Minimum Qualifications • Education: High School Diploma or GED required; Some college coursework is preferred, • Certification/Licensure: None required, • Experience: Minimum of 5 years clerical/administrative experience is required. A minimum of 2 years’ experience with SchoolDude facility usage software or other major facility rental system preferred;, • Experience with SAP or other major Enterprise system is preferred Knowledge/Skills/Abilities: • Typing speed of at least 30 NWPM and at least 70% on a Clerical Skills test required, • Proficient in Microsoft Office and project management tools, • Proven ability to handle confidential information, • Must be able to successfully manage multiple tasks, projects, responsibilities, • Must work well with others and interact positively with both internal and external customers., • Must have the ability to work with minimal supervision, meet deadlines, prioritize assignments and communicate and provide updates relative to the progress of the work, • Must be able to clearly express ideas, communicate well both verbally and written, ask questions, and listen to others, • Must be detail oriented, well organized, and have the ability to manage time and multiple projects to achieve required results, • Must be able to perform responsibilities with a sense of urgency to meet the needs of others, respond to solve problems, and willing to accept a variety of tasks to perform, • Must be able to define problems, establish facts and draw conclusions, • Must be a professional team player with a high level of positive energy and a can do approach in all activities Working Conditions: • Typical office environment Physical Demands: • Routine physical activities of sitting, standing, and walking, • May have to lift up to 10 lbs.Company Description22nd Century Technologies, Inc.
