Job DescriptionJob Title: Facilities CoordinatorJob Description The Facilities Coordinator supports Site and Assistant Facility Managers in the day-to-day operation of a corporate office environment, with a focus on maintenance, vendor oversight, equipment and supplies, occupancy services, and service delivery. This role builds strong relationships with internal stakeholders and vendors, ensures service levels are consistently met, and helps maintain a safe, clean, and well-organized workplace. The Facilities Coordinator also plays a key role in ticket management, amenity coordination, and emergency response planning. Responsibilities • Support Site and Assistant Facility Managers with operational activities in maintenance, operations, accounting and finance, vendor oversight, equipment and supplies, and occupancy services., • Actively promote an environment of teamwork, cooperation, performance excellence, and personal success., • Conduct daily walkthroughs of multiple floors (typically 4–6 floors) to ensure the office remains clean, organized, and well maintained., • Respond to all work orders and service tickets in a timely manner, ensuring compliance with key performance indicators and delivering excellent customer service., • Identify opportunities to improve operations and service delivery, and make recommendations that support service excellence and efficient building performance., • Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained and that a safe workplace is provided., • Schedule and manage repairs, maintenance, minor works, and other work requests, tracking progress through to completion., • Provide clear information and direction to vendors, facilities staff, and other service providers to ensure work is coordinated and executed with minimal disruption to occupants., • Assist in the procurement and onboarding of vendors and services as required to support facility operations., • Coordinate the delivery of site amenities, which may include fitness services, food services, massage, transportation support, and office moves, acting as a key point of contact for these services., • Provide coordination and support for events, meetings, and conference facilities, ensuring spaces are prepared and services are delivered as needed., • Perform additional front-of-house and office support duties as needed, including reception and guest support coverage, mail and courier services, office supplies and equipment maintenance, landlord relations, building access pass management, and safety and security support., • Update and maintain accurate records and official documentation for the site, including web pages and other systems related to moves and reconfigurations, events, reception, and building operations., • Maintain, update, and propose emergency response plans, including evacuation procedures, after-hours emergency response, and environmental health and safety protocols., • Coordinate site operations in accordance with agreed policies, procedures, and contract scope, and comply with all contractual requirements and performance expectations., • Deliver a consistently high quality of service, reflected in positive client and stakeholder feedback., • Work closely with a team of coordinators, a handyman, and assistant facility managers to ensure comprehensive coverage of facilities needs., • Occasionally lift, push, or move items as needed to support facilities operations and event setup., • Effectively manage ticketing systems and workflows, ensuring accurate logging, tracking, and resolution of facilities-related requests.Essential Skills, • Demonstrated experience in customer service, with the ability to deliver professional, courteous, and solution-oriented support., • Experience in facilities maintenance, facility management, or facilities coordination, preferably within a corporate or hospitality environment., • Strong ticket management experience, including logging, tracking, and closing work orders in a timely and accurate manner., • Proficiency with information technology tools and platforms, including productivity and collaboration tools., • Excellent communication skills, both verbal and written, with the ability to interact effectively with clients, vendors, and internal teams., • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities across several floors., • Effective problem-solving skills, with the ability to assess situations, identify issues, and propose practical solutions., • Ability to work independently with minimal supervision while maintaining high standards of performance and accountability., • Ability to remain calm and effective in stressful or time-sensitive situations., • Physical ability to be on their feet for long periods of time and to occasionally lift, push, or move items as required by the role.Additional Skills & Qualifications, • Prior experience in facilities, property management, hospitality, or related fields is preferred., • Knowledge of local occupational health and safety requirements and critical facilities operations is advantageous., • Experience with vendor management for specialized services is a plus., • Understanding of basic technical aspects of building systems, such as computer room air-conditioning, chiller systems, fire protection systems, and mechanical and electrical systems, is advantageous., • Experience with Google tools (such as Google Workspace) is highly preferred., • Experience using Corrigo or similar facilities ticketing/CMMS platforms is a plus., • Self-motivated, confident, energetic, and flexible, with a proactive approach to service and operations., • Comfort working in a collaborative team environment with multiple coordinators and facilities professionals., • Ability to conduct inspections across multiple floors and provide reception coverage from time to time.Work Environment This role is based in a corporate office environment and involves regular movement across 4–6 floors to conduct inspections, support operations, and respond to service requests. The Facilities Coordinator works closely with a team that includes several coordinators, a handyman, and assistant facility managers. The position follows a Monday–Friday schedule, typically either 7:30 a.m.–4:00 p.m. or 8:00 a.m.–4:30 p.m. The work setting includes a small shared workspace rather than a dedicated desk, and the role requires being on one’s feet for extended periods. Parking options may include paid parking in a nearby service lot, street parking, and public transportation access. The position is initially structured as coverage for a leave of absence, with the possibility of conversion to a full-time role at the end of the contract, although conversion is not guaranteed. The environment emphasizes teamwork, high-quality service delivery, safety, and adherence to established building procedures and emergency response protocols, while using technology tools such as Google platforms and facilities ticketing systems to manage operations. Job Type & Location This is a Contract position based out of Seattle, WA. Pay and Benefits The pay range for this position is $23.00 - $25.00/hr.
