We are seeking a highly motivated Executive Assistant to serve as a trusted partner to the Founder and CEO of a fast-paced company. This is a highly visible and dynamic position for someone who combines outstanding executive support capabilities with strong business judgment, exceptional AI proficiency, and the confidence to represent a CEO professionally with employees, candidates, clients, and external partners. \n \n The ideal candidate has deep proficiency in Microsoft Copilot and other leading AI tools, including the ability to develop effective prompts, create efficient workflows, evaluate outputs for accuracy, and identify meaningful opportunities to apply AI across the business. This person needs to be highly proactive, adaptable, discreet, and resourceful. They anticipate needs, solve problems independently, and bring structure to a demanding schedule with constantly shifting priorities. The scope of the role will be varied, spanning executive administration, business operations, communications, AI-enabled productivity, and occasional personal support. \n \n Key Responsibilities: \n Executive and Business Support \n\n • Manage the CEO’s calendar, meetings, appointments, priorities, and daily workflow.\n, • Monitor and organize a high volume of email, identifying urgent matters, drafting responses, and ensuring important items receive timely attention.\n, • Prepare the CEO for meetings by gathering relevant information, organizing materials, and tracking necessary follow-up.\n, • Draft polished emails, presentations, documents, agendas, and internal communications in the CEO’s voice.\n, • Maintain a clear system for priorities, commitments, deadlines, and outstanding decisions.\n, • Anticipate potential challenges and address them before they require the CEO’s involvement.\n, • Coordinate across departments to ensure projects and action items continue moving forward.\n\n \n AI and Productivity \n\n • Demonstrate advanced, hands-on expertise with AI tools, particularly Microsoft Copilot, and confidently apply them across executive support and business operations.\n, • Use Microsoft Copilot to streamline communications, manage information, conduct research, prepare documents and presentations, summarize meetings, analyze data, and improve daily productivity.\n, • Understand how to navigate Copilot beyond basic prompting, including developing effective prompts, creating repeatable workflows, evaluating outputs for accuracy, and applying sound business judgment.\n, • Identify repetitive or inefficient processes and develop practical AI-enabled solutions to improve speed, organization, and execution.\n, • Build and maintain prompt libraries, templates, automated workflows, and organizational systems tailored to the CEO’s working style and priorities.\n, • Evaluate emerging AI and productivity tools based on their practical value, security, and potential business impact.\n, • Help the CEO and broader team use Copilot and other technology more effectively while maintaining confidentiality and appropriate data safeguards.\n, • Carefully review and verify all AI-generated work to ensure accuracy, appropriate tone, and a consistently high professional standard.\n\n \n Communication and Representation \n\n • Communicate professionally and confidently on behalf of the CEO with clients, employees, candidates, vendors, and business partners.\n, • Handle sensitive conversations with maturity, diplomacy, and discretion.\n, • Understand the CEO’s communication style and represent her voice, priorities, and expectations accurately.\n, • Build strong relationships across the organization and serve as a trusted point of contact for the CEO’s office.\n, • Exercise sound judgment regarding which matters can be handled independently and which require escalation.\n\n \n Personal and Administrative Support \n\n • Provide occasional personal support when needed, including managing appointments, processing bills, coordinating household-related matters, and completing errands or special projects.\n, • Maintain strict confidentiality when handling personal, financial, employee, client, or company information.\n, • Adapt quickly to changing needs and take ownership of a wide variety of assignments.\n\n \n Qualifications \n\n • Bachelor’s degree required, preferably in business administration, communications, technology, or a related field.\n, • Experience supporting a C-level executive in a fast-paced environment.\n, • Advanced, hands-on proficiency with AI tools and a demonstrated ability to apply AI effectively in a business setting.\n, • Proficiency in Microsoft Excel, including formulas, data organization, financial tracking, reporting, and analysis.\n, • Strong numerical aptitude and the ability to perform calculations accurately, review financial information, identify discrepancies, and confidently work with budgets, invoices, expenses, and other business-related figures.\n, • Strong understanding of business operations, priorities, and executive decision-making.\n, • Exceptional written and verbal communication skills.\n, • Professional presence and the confidence to communicate directly with senior leaders and clients.\n, • Highly proactive, organized, resourceful, and detail oriented.\n, • Strong problem-solving skills and the ability to make thoughtful decisions independently.\n, • Comfortable working in an entrepreneurial environment where priorities can change quickly.\n, • Able to manage business and personal responsibilities with equal professionalism.\n, • High emotional intelligence and the ability to read situations, personalities, and priorities effectively.\n, • Exceptional discretion, integrity, and respect for confidentiality.\n, • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and Copilot, is required.\n, • Must live in or near Westchester County and be able to work three days per week in office.\n, • Flexibility to provide additional in-person support in the NYC
