Job Description Community Operator Title: Community Operator Location: Land O’ Lakes, Florida Reports to: Community Manager Position Summary The Community Operator is responsible for supporting the day-to-day operational execution of member-facing and facility-facing workflows at 4 & Co’s Land O’ Lakes location. This role serves as the bridge between front desk service and operational follow-through, with primary responsibility for meeting room readiness, facilities ticket coordination, inventory control, vendor visit support, and first-line AV and workplace technology troubleshooting. This position does not formally manage staff, but it plays a critical support role between the Community Receptionist and Community Manager by helping maintain consistent SOP execution and smooth daily operations. The role is highly service-oriented and process-driven, with emphasis on responsiveness, organization, operational discipline, physical readiness, and strong follow-through. The Community Operator is expected to maintain 4 & Co’s concierge-level service model while helping ensure that member spaces, operational systems, and day-to-day support workflows remain reliable, consistent, and guest-ready. Core Responsibilities Member Support and Community Operations • Support member move-ins and move-outs by executing assigned operational steps, including office readiness, access support, directory updates, walkthrough preparation, and onboarding/offboarding coordination under the direction of the Community Manager., • Assist with tours when needed and help communicate 4 & Co’s amenities, space types, and service standards clearly and professionally., • Provide concierge-level support for members with operational needs related to room bookings, AV use, WiFi access, printer issues, and workplace logistics, escalating as needed when outside role scope., • Serve as a secondary front-of-house support role during high-traffic periods, special events, absences, or escalated member issues. Meeting Rooms and Space Readiness • Own daytime readiness of meeting rooms, event spaces, and other shared operational areas by ensuring they are clean, stocked, correctly configured, and technologically functional between bookings., • Review bookings and space schedules throughout the day in OfficeRnD and related tools so rooms and shared areas are prepared before member arrival times., • Support room turns, room reconfigurations, and basic event setup readiness in coordination with Building Ops and the Community Manager., • Monitor room over-stays, conflicts, and readiness issues and respond using established escalation procedures to protect member experience and schedule flow. Vendor, Facilities, and Ticket Coordination • Act as the primary day-to-day operational contact for routine on-site vendor coordination, including maintenance-related vendors, scheduled service visits, café/coffee support, and delivery-related operational follow-through., • Intake, log, triage, and monitor maintenance, facilities, and operational tickets in the appropriate systems, ensuring requests are routed, updated, and closed in a timely manner., • Maintain accurate vendor contact information and service notes in coordination with the Community Manager and Building Ops., • Support execution of facilities-related workflows, including ready-state standards, scheduled maintenance coordination, and issue escalation when services impact member operations. Inventory and Operational Standards • Own day-to-day operational inventory tracking for front-of-house and member-facing supplies such as printer paper, coffee station consumables, meeting room supplies, and basic office support items., • Complete recurring operational checklists throughout the day to help ensure the front desk, café, print room, mailroom, and shared areas remain in standard and ready-state condition., • Communicate low-stock, recurring shortages, or operational supply concerns to the Community Manager in a timely and organized manner., • Support accurate completion of process checklists tied to move-ins, move-outs, room readiness, and daily standards. AV, Tech, and Systems Support • Provide first-line troubleshooting support for basic AV and workplace technology issues, including meeting room displays, ClickShare, cameras, printer issues, WiFi access, and related member-facing technology needs., • Support standard OfficeRnD, Essensys, and Papercut-related tasks within role scope, including bookings support, access assistance, print troubleshooting, and issue logging., • Escalate higher-level network, systems, hardware, billing, or account issues to the Community Manager or leadership based on the relevant SOP or process owner., • Help document recurring operational and technical issues so solutions can be reused and built into future SOP improvements and staff training. Mail, Delivery, and Administrative Backup • Act as a backup for mailroom, package handling, food delivery notifications, and virtual mailbox workflows when the Community Receptionist or Community Manager is unavailable., • Help maintain accurate communication and task follow-through for member deliveries, mail notifications, and operational handoffs., • Support completion of recurring documentation, task notes, and issue tracking to ensure operational records remain current and usable by the team. Qualifications • High school diploma required; some college preferred., • At least 2 years of experience in hospitality, coworking, property operations, office support, facilities coordination, or a similar operationally focused member-facing role., • Strong communication, organization, and multitasking skills., • Comfortable using workplace software systems and operational tools for bookings, tickets, access support, issue tracking, and member coordination., • Comfortable performing light technology troubleshooting and physical operational tasks in a fast-paced environment., • Able to remain calm, professional, organized, and solutions-focused while balancing hands-on operational work with member interaction.
