As we continue developing our manufacturing operations in Navarra, we are looking for an Administration Specialist – Site Operations & Headquarters Coordination to support local site operations and ensure effective coordination between the Spanish organization and HiTHIUM headquarters. This role will support the localization of administrative processes and the daily operation of the Spanish site which covers facility services, office administration, expense control, business reception and coordination with headquarters. The successful candidate will be organized, proactive and able to work effectively across different cultures and departments. Key Responsibilities Administrative Process Localization Implement administrative policies and operating standards in line with local requirements. Adapt internal procedures, guidelines and SOPs to the operational needs of the Spanish site. Support the translation and localization of administrative policies and internal communications between Chinese and Spanish. Maintain local administrative documentation and ensure information is regularly updated. Site and Facility Operations Coordinate day‑to‑day site services, including catering, employee transportation, property management, security, cleaning, drinking water, equipment maintenance and other facility‑related services. Monitor service quality, conduct regular follow‑up and coordinate corrective actions. Collect employee feedback and support improvements to workplace services and the employee experience. Coordinate employee accommodation arrangements, including check‑in, check‑out, room allocation and service follow‑up. Office Administration and Expense Control Manage office supplies, employee workwear and other workplace materials, including purchasing requests, distribution and inventory control. Coordinate meeting rooms, office equipment, mail, courier services and document circulation. Review and track administrative expenses, invoices and monthly payments. Maintain accurate expense records and support administrative cost control. Business Reception and Event Coordination Coordinate visits from government representatives, clients, business partners and senior management. Arrange itineraries, transportation, accommodation, catering and interpretation support. Prepare reception plans and coordinate internally with the relevant departments. Support airport and train station transfers and other logistical arrangements. Collect feedback after visits and improve reception processes when needed. Headquarters Coordination and Reporting Prepare regular administrative reports and operational updates for headquarters. Coordinate the implementation of new administrative requirements at the local level. Act as a communication point between the Spanish site and relevant headquarters teams. Support Chinese colleagues with local administrative matters, travel arrangements and practical issues in Spain. Requirements Bachelor’s degree in Administrative Management, Business Administration, Spanish Studies, Operations Management or a related field. At least 1 year of experience in administration, office management, site operations or facility coordination. Professional fluency in Spanish and Chinese, both written and spoken. Working knowledge of English is preferred. Ability to independently manage translation, interpretation and cross‑cultural communication. Experience in a manufacturing, industrial, renewable energy or international working environment is an advantage. Experience in office administration, facility services, expense control or business reception is preferred. Strong service mindset, organizational skills and attention to detail. Ability to coordinate multiple suppliers, departments and stakeholders. Reliable, adaptable and able to respond effectively to urgent operational matters.
