Join us and let's power the future together! /p pAs we continue developing our manufacturing operations in Navarra, we are looking for an bAdministration Specialist – Site Operations Headquarters Coordination /b to support local site operations and ensure effective coordination between the Spanish organization and HiTHIUM headquarters. /p pThis role will support the localization of administrative processes and the daily operation of the Spanish site which covers facility services, office administration, expense control, business reception and coordination with headquarters. The successful candidate will be organized, proactive and able to work effectively across different cultures and departments. /p h3Key Responsibilities /h3 pAdministrative Process Localization /p ul liImplement administrative policies and operating standards in line with local requirements. /li liAdapt internal procedures, guidelines and SOPs to the operational needs of the Spanish site. /li liSupport the translation and localization of administrative policies and internal communications between Chinese and Spanish. /li liMaintain local administrative documentation and ensure information is regularly updated. /li /ul pSite and Facility Operations /p ul liCoordinate day‑to‑day site services, including catering, employee transportation, property management, security, cleaning, drinking water, equipment maintenance and other facility‑related services. /li liMonitor service quality, conduct regular follow‑up and coordinate corrective actions. /li liCollect employee feedback and support improvements to workplace services and the employee experience. /li liCoordinate employee accommodation arrangements, including check‑in, check‑out, room allocation and service follow‑up. /li /ul pOffice Administration and Expense Control /p ul liManage office supplies, employee workwear and other workplace materials, including purchasing requests, distribution and inventory control. /li liCoordinate meeting rooms, office equipment, mail, courier services and document circulation. /li liReview and track administrative expenses, invoices and monthly payments. /li liMaintain accurate expense records and support administrative cost control. /li /ul pBusiness Reception and Event Coordination /p ul liCoordinate visits from government representatives, clients, business partners and senior management. /li liArrange itineraries, transportation, accommodation, catering and interpretation support. /li liPrepare reception plans and coordinate internally with the relevant departments. /li liSupport airport and train station transfers and other logistical arrangements. /li liCollect feedback after visits and improve reception processes when needed. /li /ul pHeadquarters Coordination and Reporting /p ul liPrepare regular administrative reports and operational updates for headquarters. /li liCoordinate the implementation of new administrative requirements at the local level. /li liAct as a communication point between the Spanish site and relevant headquarters teams. /li liSupport Chinese colleagues with local administrative matters, travel arrangements and practical issues in Spain. /li /ul h3Requirements /h3 ul liBachelor’s degree in Administrative Management, Business Administration, Spanish Studies, Operations Management or a related field. /li liAt least 1 year of experience in administration, office management, site operations or facility coordination. /li liProfessional fluency in Spanish and Chinese, both written and spoken. /li liWorking knowledge of English is preferred. /li liAbility to independently manage translation, interpretation and cross‑cultural communication. /li liExperience in a manufacturing, industrial, renewable energy or international working environment is an advantage. /li liExperience in office administration, facility services, expense control or business reception is preferred. /li liStrong service mindset, organizational skills and attention to detail. /li liAbility to coordinate multiple suppliers, departments and stakeholders. /li liReliable, adaptable and able to respond effectively to urgent operational matters. /li liWillingness to work on‑site and support the operational needs of a growing manufacturing organization. /li /ul pHiTHIUM is an equal opportunity employer.
