About The Role The Production Assistant acts as the primary operational link between the Fan Zone Production Coordinator and the on‑site operational teams, including both internal staff and external suppliers. The role is responsible for leading on‑site execution, coordinating suppliers, and ensuring the smooth flow of attendees while making timely operational decisions to maintain safety, efficiency, and service quality throughout the Load‑In , Event Operations , and Load‑Out phases. You will: Supplier Management & Structural Installation (Load‑In / Load‑Out) Oversee the installation and dismantling of temporary infrastructure, ensuring all structures are delivered in accordance with the approved site plans and operational requirements. Supervise the installation of branding, signage, and creative elements, ensuring compliance with approved brand guidelines and quality standards. Coordinate, together with the Production Assistants and Logistics teams, the arrival, parking, unloading, and movement of heavy equipment and technical deliveries. Monitor supplier performance and ensure activities are completed safely, efficiently, and in accordance with the production schedule. Activation Coordination Coordinate the operational readiness of all activations, ensuring that power supply, connectivity, and other technical services are available for Formula 1 simulators, interactive games, and other visitor experiences. Supervise the installation and dismantling of structural, technical, and creative elements associated with activations. Verify that all activations comply with the approved layouts, infrastructure requirements, and expected quality standards. Ensure that all activations operate correctly throughout the event and contribute to an excellent visitor experience. Event Operations & Crowd Management Monitor attendee flows, activation capacities, access points, and circulation routes to minimise congestion and maintain safe crowd movement. Coordinate and supervise the work of Junior Production Assistants, Production Support Staff, and Runners, assigning tasks and monitoring operational performance. Respond rapidly to operational issues and implement immediate solutions to maintain safety and operational continuity. Production Documentation & Operational Planning Prepare and maintain detailed Load‑In and Load‑Out schedules, including supplier arrival and departure times by area and by day, aligned with the overall production programme. Prepare daily production reports and support the adjustment of the following day's operational schedule based on incidents, progress, and operational priorities, in coordination with the Zone Production Coordinator. Maintain staff schedules, attendance records, shift plans, and break allocations for support staff, logistics crews, and runners. Keep operational documentation, checklists, and production records up to date throughout the project. Financial & Administrative Support Support petty cash administration, maintaining organised records of receipts, invoices, and emergency purchases for operational materials such as tape, cables, tools, and consumables. Assist with tracking operational expenses where required. Prepare the final production report, including photographic records, operational analysis, a summary of resolved issues, records of damaged or missing materials, and recommendations for future editions. Deliverables Load‑In and Load‑Out production schedules. Daily production reports and updated operational plans. Supplier coordination records and delivery logs. Staff rota and attendance records. Operational incident and corrective action logs. Petty cash and emergency purchase records, where applicable. Final production report, including operational performance, inventory reconciliation, damaged or missing assets, lessons learned, and recommendations for future events. The Supplier shall provide the Services as an independent self‑employed professional, organising independently the resources and methods necessary for their performance, without prejudice to the coordination required with Fever.
